Scheduled Time formula is the best option for organizations that schedule employee shifts with fixed start and end times, expecting work to be completed within those hours

This formula requires your organization to set up and use scheduled shifts within Insightful's system.

To set or modify the utilization formula, the admin can go to Settings → Utilization card.

Selecting what are productive activities

Admin can customize which activities are considered productive, tailoring the calculation to their specific needs. The sum of these activities serves as the numerator in the utilization formula.

Configuring work expectations

Scheduled hours refer to the expected working hours defined by an employee’s predefined schedule, from the shift start time to the shift end time.

Impact of hours worked outside of the Schedule

Insightful offers the flexibility to include or exclude hours worked outside of scheduled shifts when calculating employee utilization. Admin can choose whether these extra hours should be factored into the utilization score.

  • When enabled (flexible approach)

If extra hours are included, the calculation considers both scheduled hours and additional hours worked during the early clock-in and late clock-out period. Employees can clock in up to 120 minutes before and clock out up to 120 minutes after their scheduled shift, if it’s allowed by the admin in the settings.

So, if an employee is scheduled for 6 hours on Wednesday but works 8 hours. Their utilization percentage will be 133%, helping identify employees who exceed expectations.

If an employee works outside scheduled hours or on unscheduled days (e.g., weekends), their utilization percentage will be N/A, as there are no work expectations for that employee.

  • When disabled (strict approach)

When this option is disabled, the calculation only considers scheduled hours. In this scenario, the maximum utilization that can be achieved is 100%. Any work done outside the scheduled shift start and end time is not factored in.

Impact of using Expected Break Time instead of Breaks

The expected break time setting is helpful to lower the scheduled shift work requirements without employees needing to clock their breaks. When this option is enabled, regular Break Time is excluded from the formula.
