Creating and Managing Custom Time Off Types

Learn how to create, edit, and apply your own time-off types alongside Insightful's default options

Custom Time Off Types let you define time-off types that match how your organization actually tracks leave, instead of relying only on Insightful's built-in options. This article walks Administrators through creating, editing, and deleting custom time-off types, and shows Managers how to apply them.

Where to find it

Custom time-off types are managed from Settings → Custom Times.

Once created, a custom type appears alongside Insightful's standard types anywhere on the dashboard a time-off type can be selected, including the Add Time Off menu and the Time Off filters on the Schedules page.

Default time-off types and categories

Every time-off type, whether it's one of Insightful's defaults or one you create, belongs to one of five categories. Insightful's default types are:

  • Paid Time Off

  • Leave

  • Holiday

  • Unpaid Time Off

  • Other

These default types can't be edited or deleted. When you create a custom type, you're adding a new label within one of the five categories above — for example, a custom type called Parental Leave could be mapped to the Leave category, or Bereavement to Other.

Creating a custom time-off type

  1. Sign in as an Administrator.

  2. Choose the option to create a new time-off type.

  3. Enter a name for the type, for example Parental Leave, Bereavement, or Jury Duty. The name must be unique in your organization and can't match an existing type or category name.

  4. Assign it to one of the five categories: Paid Time Off, Leave, Holiday, Unpaid Time Off, or Other.

  5. Save. The new type becomes available to Administrators and Managers wherever time-off types appear, including the Add Time Off menu, Time Off filters, and CSV import.

Editing or deleting a custom time-off type

  • Only the custom types created within your organization can be edited or deleted.

  • Insightful's default types (Vacation, Sick Leave, Public Holiday, Unauthorized Leave, and Other leave) can't be changed or removed.

  • Custom Time Off Types synced from an active HR integration, also can’t be changed or removed.

  • Existing Time Off entries keep the type and category they were recorded with, so editing or deleting a custom type doesn't change or remove any Time Off entries already on record — it only affects what's available to select going forward.

Deleting a custom type is permanent. If you're not sure you'll need it again, consider whether you actually want to remove it or simply stop using it going forward.

Who can do what

  • Administrators can create, edit, and delete custom time-off types, and can view and apply any type.

  • Managers can view and apply existing time-off types, both default and custom, when recording time off for their teams. Managers can't create, edit, or delete time-off types.

What if you have active HR integration

If your organization syncs Time Off entries from a connected HR system, Insightful automatically creates a matching custom time-off type using the same name your HR tool uses, so synced entries show up under a label you already recognize.
