Attendance Report offers a comprehensive view of employee attendance patterns and working hours within a defined period. It helps managers gain insights into employee activity levels, identify potential issues and make informed decisions.

What can you do with Attendance report?

  • Monitor Employee Activity: Gain a comprehensive view of employee attendance patterns and working hours within a defined period (up to a month).

  • Identify Trends: Quickly compare visual representations of working hours to see who worked more or less and identify potential trends.

  • Set Minimum Work Thresholds: Define a work time minimum to easily spot employees who fall below your expectations.

  • Track New Hires & Departures: Identify employees who recently started working or left the organization within the timeframe.

Attendance report allows you to see which employees were working (and how many working days they have had) and which ones were absent on each day during a desired period of time but not larger than a month.

You can quickly compare visual representations of their working hours to see who worked more or less. If someone worked under your preferred threshold, you could set up a minimum Work time – a limit below an employee's working day will be marked differently. Decide how long an Employee needs to be active to be considered as Attended.


Additionally, you can check if an employee has just started working or had their last day in your organization.

The Attendance report's default view is the current month and Employees are sorted by the total number of active days in a month. Employees that have the same number of Active Days are then sorted alphabetically.

Access this report in the Time and Attendance → Attendance tab.

Attendance report legend

  • Yellow line at the beginning/end indicates the user's first/last day of Insightful usage.

  • Empty circle illustrates absence for that day.

  • Orange triangle represents a user whose working hours are below the threshold for that day.

  • Green lightning bolt icon is the employee that's currently working - an employee who started their shift for today and is still working.

  • Filled purple circle indicates that the employee worked above the threshold that day.

    • The circle size represents the number of hours worked for a day. The larger the circle, the more working hours the employee had that day,

  • Empty box will only appear if the employee did not exist on the selected dates within the chosen timespan.

  • Oblique gray lines are non-working days, visible only to companies that use the Fixed Hours formula and Workweek Days.

Customization

You can tailor your view by filtering the report by date, employee, or team to focus on specific areas of interest.

You can also customize the columns to include/exclude team name and total number of attended and worked days (with office hours above the threshold) for a selected timespan.


Tooltip

If you click on the attendance circle, you will get more info on that employee's shift:

  • Tag for Time Off (in case it exists)

  • total Work time

  • shifts (if there were multiple for that date)

  • utilization percentage

  • unproductive and neutral times

  • total, active, and idle time

  • manual time (in Manual Attendance tracking scenario)

  • break time

Time Off hours (for that day if they exist) are displayed at the bottom of the list.
