Billing setup
This page explains how billing works between you and Insightful, and walks you through setting up your payment method — the one thing you must configure before activating your first client subscription.
The billing relationship
As an MSP, you are our customer — your clients are yours:
You pay Insightful for every client workspace you manage. Your clients never pay us, never see our pricing, and have no billing pages in their workspaces at all.
How you charge your clients is entirely up to you — your pricing, your margin, whether Insightful appears as a line item or is bundled into your service contract. We stay out of that relationship.
To make re-billing easy, every client has its own subscription and its own invoice on our side, so you always know exactly what each client costs you. See How billing works for the full picture.
Adding your card
Card is the standard payment method: each client subscription is charged to it automatically at the start of every billing cycle — nothing to approve or pay manually.
In the portal, go to Settings → Payment Methods.
Choose Add New Card, enter your billing address, then your card details.
Save. You’re ready to activate client subscriptions.
You can replace the card at any time; future charges use the new card.
Prefer to be billed by invoice?
Instead of automatic card charges, you can receive invoices and pay by bank transfer within agreed payment terms (for example, net 30). Invoice billing is available for partners who make a long-term commitment, and is arranged together with our team rather than self-service — contact our support to discuss it. Once enabled, it applies to all of your client subscriptions.
Good to know:
Start with a card even if you plan to move to invoice billing later — switching is possible and applies to all of your running client subscriptions.
Only portal Admins and Finance Managers can see and manage billing.
Support contact
This page explains the support contact settings — the details your clients see when they look for help inside Insightful.
Your clients’ employees and admins will occasionally need assistance. As their managed service provider, you are their first line of support — the support contact settings make sure they reach you instead of generic channels.
What it does. The support name, email, and phone number you configure are shown inside every client workspace you manage. When someone in a client organization opens the help/support area, they see your details.
How to set it up:
In the portal, go to Settings → Support Dialog.
Enter the message your clients should see (for example, your helpdesk hours).
Enter the support email address and, optionally, a phone number and website.
Save. The details appear in all of your managed client workspaces immediately — the live preview shows exactly what your clients will see.
What your clients see
Inside every managed workspace, the in-app support button opens your support details instead of generic support channels — clearly labeled with your company name, so your clients always know who manages their workspace and how to reach you:
Good to know:
The same support contact applies to all of your clients — it cannot be customized per client.
You can update it at any time; changes take effect right away.
If you leave it empty, clients see no MSP support details, so we strongly recommend filling it in as part of your initial setup.
Portal team & roles
This page explains the portal’s user roles and how to invite your team.
You will rarely run an MSP practice alone. The portal lets you invite your staff and give each person exactly the access their job requires — from full control to billing-only or deployment-only.
The four roles:

Admin | Always all clients | Everything: portal settings, team management, billing, onboarding, deployment, and full access inside every client workspace |
Finance Manager | Always all clients | Billing and invoices only. Can activate client subscriptions, but can never enter a client workspace |
Productivity Manager | Assigned clients only | Full day-to-day access inside their assigned clients’ workspaces (teams, employees, settings, reports) |
IT Manager | Assigned clients only | Deployment Health and agent installation only. Can never enter a client workspace |
Choosing the right role
Give Admin sparingly — portal owners and senior staff. Admins can do everything, including inviting other portal users and rotating your client signup link.
Finance Manager is built for your accounting team: they see subscriptions and invoices for all clients but have zero visibility into any client’s monitoring data.
Productivity Manager is your account-manager role: they work inside client workspaces as if they were the client’s own manager, but only for the clients you assign to them.
IT Manager is your rollout-engineer role: they can monitor agent deployment and generate installers for their assigned clients, without ever seeing productivity data.
Assigning clients. Productivity Managers and IT Managers are scoped: when inviting them (or editing them later), you pick which clients they manage. Admins and Finance Managers always cover all clients automatically — including clients added later, with no action needed on your side.
How to invite a team member
Go to Settings → User Management and choose Add New, then pick the role.
Enter their name and email, and — for Productivity Managers and IT Managers — select their clients in the next step.
They receive an invitation email and set their own password.
Good to know:
A person’s permissions come entirely from their role — there is no per-permission fine-tuning.
When you remove a portal user, their access to all client workspaces is removed with them.
