Assign Tracking Settings Profiles

Setting up Insightful for your workplace needs: what Tracking Settings control, how to create and edit Tracking Settings templates, and how to assign them to teams and to individual employees

Written by Marija Djurdjevic

In this guide you will learn how to assign Insightful's Tracking Settings profiles which will enable you to configure the application according to the specific needs of your organization. Insightful is as flexible as you need it to be.

What Tracking Settings control

The Tracking Settings page has three tabs — Manage, Teams, and Employees — so you can manage your Tracking Settings profiles, see each team's default, and see which setting applies to each employee, all in one place.

To access your shared tracking settings, navigate to Settings → Tracking Settings. Here you can create a new or edit an existing Tracking settings profile.

A Tracking Settings profile (template) defines how Insightful tracks a group of employees: the type of computers they work on (company or personal), the visibility of the app (Visible or Stealth), the attendance tracking scenario, and the tracking details — Screenshots, Screen Recordings, Break time, Idle time, Permissions and Tasks settings.

There are several ways to edit settings for your employees in Insightful.

Templates

You can have as many templates as you need and you can save unique settings per each template

Flexibility of tracking settings

Insightful supports multiple settings profiles in the same organization:

  • Each team can have its own default Tracking Setting (see Assigning Tracking Settings templates to teams below).

  • An individual employee's Tracking Setting still takes priority over their team's default when that employee needs to be tracked differently (see Assigning Tracking Settings to employees below).

  • Reverting an employee back to their team's default Tracking Setting is a single, clear action from the Employees tab — no need to edit their account individually.

This way you can set Insightful app to run in Stealth mode for some employees, and in Visible mode for others. Or you can assign Projects and Tasks to several employees but not to all. These are just a few examples. These Templates can be used when you have a couple of use case scenarios for Insightful and then you can assign each one to desired teams or employees.

Creating a Tracking Settings Profile

To start adding a new tracking settings profile, you need to click on the Add New tracking settings in the upper right corner and choose: Type, Tracking Scenario, Tracking Details, Name & Scope.

Learn how to do this in the following article: Insightful Tracking Settings Profiles

Assigning Tracking Settings profile to teams

Each team in your organization can have its own default Tracking Settings, configured separately for company computers and personal computers.

On the Teams tab of the Tracking Settings page, Admins can see and change which Tracking Setting is the default for any team. Managers can do the same:

  • for teams in their scope if they have the Manage tracking settings within scope permission, and

  • for all teams if they have the Manage all tracking settings permission.

Every Tracking Setting also clearly shows which teams and employees it's currently assigned to, so you can see its full scope at a glance and know exactly who is covered by any given profile. This scope can also be exported, making it easy to audit or share coverage details.

Assigning Tracking Settings profile to employees

To set up tracking on an individual employee level, you can assign one of your existing templates to a specific employee.

This can be done on the Employee page by doing the following:

  • Click on Employees on the sidebar in your Insightful application.

  • Click on the desired Employee name to get to their individual Employee page.

  • Click on Manage in the upper right corner of the page.

  • Click Review Tracking Settings. This opens Settings → Tracking Settings → Employees tab, filtered to that employee. Choose the profile in the employee's Tracking Settings column.

Note: If an employee has their own Tracking Setting, it takes priority over their team's default, so later changes to the team's default won't apply to that employee. Changes to the profile they are assigned do apply to them.

  • You can check and change which Tracking Setting is applied to any employee at any time from the Employees tab on the Tracking Settings page.

  • Reverting an employee back to their team's default Tracking Setting is a single action from the Employees tab.

  • Team-level defaults work the same way — see Assigning Tracking Settings templates to teams above.

On the Employees tab, which lists every employee together with the Tracking Setting currently assigned to them, Admins can see and change which Tracking Setting is assigned to any employee. Managers can do the same:

  • for employees in their scope if they have the Manage tracking settings within scope permission, and

  • for all employees if they have the Manage all tracking settings permission.

The assigned Tracking Setting can also be shown as a column on the Employees table, the Teams table and the Timesheet tables, including the Timesheet tab of an employee's page. The column is hidden by default: turn it on in the column selector.

Note: When you move an employee to another team, they get the new team's default Tracking Setting, even if they had their own. To let employees keep their own Tracking Setting when they change teams, turn off Assign the new team's tracking settings when an employee changes team, under Team Changes in Settings → Tracking Settings → Advanced Settings. Employees who follow their team's default always switch to the new team's default.
