Real-time Insights into Employee Activities and Productivity

Review and analyze what your team is working on in real-time and adapt accordingly for optimal productivity and best results

For a number of organizations today, the ability to adapt their workforce and workflows to changing circumstances in real time is a critical business need. This is why Insightful has created the Real-time Insights function.

Real-time Insights allow you to see the current status of all employees at a glance and understand activities your teams are working on at the moment. Employee data is synced in real time which helps you understand the status of your operation and, if needed, take immediate action to manage capacity planning, optimize productivity, balance workload and remove bottlenecks.

Real-Time Data Overview

At the top of the Real-time Insights page, you can find the following states which are also filters:

  • Worked Today - the number of employees who worked today out of the total number of employees on your account.

  • Active - the number of employees that are currently active on their computers.

  • Unproductive - the number of employees that are currently active on their devices but using apps or websites labeled as unproductive for your organization.

  • Productive - the number of employees currently using apps or websites categorized as productive.

  • On Break - the number of employees currently on break.

  • Idle - the number of employees currently idle during their shift.

  • Absent - the number of employees who have not started their scheduled shift.

  • Clocked-Out - the number of employees who already clocked in and clocked out during the current day and are no longer active.

  • On Time-Off - the number of employees on scheduled time off (visible only in organizations that enter or import time off information).

Customizing Highlight Cards

You can customize the highlight cards displayed at the top of the page using the Customize button.

The customization menu contains two tabs:

  • Top Stats

  • Table Columns

Within the Top Stats tab, users can choose which highlight cards to display.

Available options include:

  • Active

  • Worked Today

  • Productive

  • Unproductive

  • Idle

  • On Break

  • On Time-Off

  • Absent

  • Clocked-Out

The following rules apply:

  • A minimum of 2 cards must be selected

  • A maximum of 4 cards can be displayed at the same time

  • Active and Unproductive cards cannot be unselected

By default, the following cards are displayed:

  • Active

  • Unproductive

  • On Break (if applicable)

  • Idle

If On Break data is not applicable, Worked Today is displayed instead.

Filters

You can Filter page by:

  • Employees

  • Teams

  • Org Groups

  • Activity status

  • Scheduled to work

Employee List & Real-Time Status

Below these stats is the list of Employees displaying:

  • Employee Name

  • Alias ID

  • Team the employee belongs to

  • Team Description

  • Job Title

  • Their Clock-in and Clock-out timestamps

  • Task they are working on if you use Project Management functionality with our Time Tracking plan.

  • Real-Time Activity status:

    App or website currently in focus on the employee’s desktop and whether it is categorized as Productive (green), Unproductive (red), or Neutral (gray), or one of the following Activity statuses:

    • Active

    • Worked Today

    • Productive

    • Unproductive

    • Idle

    • On Break

    • On Time-Off

    • Absent

    • Clocked-Out

    • Scheduled to Work

With the current Insightful app version, for users behind the proxy, apps and websites won't be displayed correctly on the Real-Time Dashboard - Currently using column will display Absent status in most cases.

The search box enables you to find specific employees by their name, but you can also use it to filter the list per team, project or task by typing in the search box.

  • You can customize the Real-Time Insights view by choosing the columns you wish to see on the top of the page. Clicking the Export button will provide you with the .csv file of the customized data from the dashboard at that time.

  • The Timesheets and Manual Time tabs include an Export button, while the Attendance and Schedules tabs do not have this option.
