Welcome to Insightful Glossary. This article is designed to help you gain a clear understanding of key concepts and features you’ll encounter while using Insightful app ensuring a seamless experience.
A
Active Directory: Microsoft's directory service (a database for storing and maintaining information about users and resources). Admins can use it to mass-install Insightful to employees using company-managed devices, create and enforce policies for the network and define which users or groups have access to which resources.
Activity Logs: A detailed account of all applications and websites utilized by employees in an organization. They provide valuable insights into different information (e.g. date, time, duration, category, title etc.) and employee digital behaviors allowing admins (and managers with needed permissions) to make informed decisions regarding protecting security, ensuring compliance, managing productivity and resource allocation.
Add-ons: Optional features that enhance the functionality of the main application within a subscription plan without upgrading to a higher-tier plan.
Agent: An Insightful desktop application that collects and transmits data to the Insightful dashboard.
Agent version: A release number of the installed Insightful desktop application. Each version contains updates, bug fixes or new features added to the Agent to ensure compatibility with Insightful dashboard and improve app performance.
Alert types in Insightful
Security Alerts: Insightful's feature that enables real-time notifications on Insider Security Threats (triggered when users utilize certain keywords, apps or websites as set up by admins or managers with the needed permission),
Attendance alerts: Insightful's feature that enables admins (and managers with permissions) to receive real-time notifications on employee non-compliance with company attendance-related policies (e.g. missed Clock-In, exceeded Break time, exceeded Absent days, exceeded Idle time etc.)
Always active: Insightful's feature that allows certain apps and websites to keep users marked as active for the entire time they are using them, regardless of their mouse or keyboard activity. Marking these apps or websites as Always active in Insightful ensures the system tracks activity on them based on usage time rather than physical input. This is useful for commonly used tools like Zoom, Skype, and Google Hangouts.
Always Active - On Call: This is an Insightful feature designed for video conferencing and VOIP applications. It automatically detects when the microphone or camera is in use, ensuring that employees are marked as active during calls or meetings, even if there's minimal keyboard or mouse activity. This prevents the system from logging idle time during such periods.
API (Application Programming Interface): A set of rules, protocols, and tools that allow organizations have Insightful integrate and communicate with other software applications (e.g. extract employee activity data, automate reporting processes etc.) API enables developers to integrate third-party services, automate workflows, and extend the functionality of a platform without needing direct access to its underlying code.
Attendance Tracking Scenarios: Sets of Insightful's configurable scenarios used to monitor when employees are actively working. They allows admins to configure different tracking options, such as manual clock-ins/clock-outs, project-based tracking or automatic attendance recording based on predefined working hours, network activity etc. These configurable scenarios provide flexibility in how attendance is tracked to suit various organizational needs.
Audit Logs: A detailed account of organization's activities anc changes (e.g. Tracking settings changes, Billing adjustments, Adding or removing employees, Productivity label changes, etc.) aimed at adding an extra layer of security, better governance and oversight, raising usage transparency and giving Admins a comprehensive insight into organization's digital behavior.

Break Time Overage: Insightful's indicator that an employee has exceeded their allowed break time as set up by an organization's admin (or manager with the needed permission).

Clock-In: The action of recording the start of a work period (typically the beginning of an employee’s shift or work session) using Insightful app (manually on the Widget or automatically).
Clock-Out: The action of recording the end of a work period (typically the end of an employee’s shift or work session) using Insightful app (manually on the Widget or automatically).
Company computers: Devices employees use for work that are owned by their company/employer and managed by company/employer staff (for example but not necessarily administrators and IT department personnel).
CSV (Comma-Separated Values): A plain-text file format used to store and exchange structured data, where each line represents a data record, and fields are separated by commas. Due to its simplicity and compatibility, it can be used for importing and exporting data between Insightful and other software applications, databases and spreadsheets. The flexibility of CSV imports allows organizations to efficiently transfer large datasets, automate workflows, and integrate external data sources without requiring complex APIs.

Dashboard: Web/Browser-based Insightful app where various insights, reports and real-time data collected by the Agent can be reviewed and analyzed. It serves as the central hub for monitoring team performance, reviewing activity logs, managing productivity and configuring system settings.

Email Reports: Customizable Insightful reports that admins (and managers with the needed permissions) can set up to receive on their mail addresses.
Engagement Level: A percentage of time users are utilizing their mouse and keyboard during periods Insightful considers to fall under their Active time. It reflects how engaged they are based on their interaction with the devices.

Fixed hours: The number of hours of productive time an employee is expected to achieve per day (as set by organization's admin). In Insightful App, fixed hours are used only for a certain type of employee Utilization score calculation.
I
InsightsAI: Insightful's AI chat feature that allows you to ask complex questions related to your Insightful workforce data and get answers without having to dive deeper into the reports throughout the App.
Integration: A connection between Insightful and another software platform to enable seamless data exchange, automation, and improved workflow efficiency. Insightful offers CSV imports and integrates with a number of Project management and HR platforms as well as BigQuery.
IT forensics: A structured analysis of digital data to find out exactly what caused a certain software behavior to help fix errors and bugs.

License: A set of rules and conditions that define how an organization is allowed to use Insightful app, including limitations on users, features, and compliance requirements.
Location Insights/Office vs. Remote: Insightful's feature that enables organizations to analyze how employees' work locations (e.g. office, remote, or hybrid) affect productivity. By defining specific office locations through IP or MAC addresses, the system distinguishes between on-site and remote work. This distinction allows for a comprehensive comparison of productivity metrics across different settings. It also helps optimize hybrid work by offering data-driven insights to design and refine hybrid work policies based and balance between flexibility and productivity.

On-demand Screenshots: Insightful's feature that enables Admins and Managers (with the needed permissions) to manually take real-time screenshots of employees' screens (in accordance with their requirements) providing a snapshot of the employees' activities at that very moment in time. Aside from these, Insightful also offers automated Screenshots (including blurred) and Screen recording.

Payment Plan: Agreed-upon schedule and method for paying Insightful subscription fee (e.g. monthly, annually etc.)
Personal computers: Devices employees use for work that are owned and managed by individual employees themselves (for example but not necessarily contractors or remote employees).
Personal settings: As opposed organization or individual employee settings, this is an area where you set up your user name and password, as well as your language and time zone/time format.
Price Plan: Insightful's offering defining the features, usage limits and cost of subscription, allowing you to choose a plan that fits your needs.
Productivity Labeling: Insightful' feature that allows organizations to categorize the apps and websites their employees use as productive, neutral, or unproductive. This helps monitor and manage the organization's productivity effectively. Admins can manage productivity labels, set exceptions, and use an auto-recommendation mode to streamline the process.

Real-time Insights: Insightful's dashboard that allows you to see the activities your teams are working on in real time.
Remote Server: A powerful computer or a system located in a different place than the user, accessed through the internet or a network. It stores data, runs applications and provides services without needing to be physically present which allows users to access and manage information from anywhere.

SAML: Security Assertion Markup Language (SAML) s a transport protocol for sending and receiving authentication data. It is a a standardized way to tell external applications and services that a user is who they say they are. It makes the Single sign-on (SSO) technology possible by providing a way to authenticate a user once and then communicate that authentication to multiple applications.
Scheduled shift: Specific, scheduled period during which an employee of a company is expected to work.
Seat: A single user license that grants an individual access to Insightful. The number of seats determines how many users can use the app simultaneously under your subscription plan.
Security bundle: Insightfu's add-on that includes Security Alerts and IT forensics via Activity Logs.
SSO: Single sign-on (SSO) is an identification method that enables users to log in to multiple applications and websites with one set of credentials.
Subscription: The paid agreement that enables an organization to have continued access to Insightful app for a defined period (normally monthly or annually) and determines billing terms and product availability.

Threshold types in Insightful
Security Alerts Threshold: A value set on the Security page that limits repeated Insightful alert notifications from the same employee. If set to 0, alerts will trigger every time an employee repeats the same action within a short period (This threshold applies only for Security alerts),
Attendance Threshold: Minimum number of minutes an organization's employee is required to work in a day as set by admin (or manager with the needed permission) in Insightful. It can be set to 0 or allocated a specific number to filter out those employees that don't meet the threshold (relevant only for the data shown on the Attendance tab),
Idle time Threshold: A time period (set by organization's admin) of user inactivity after which Insightful marks the time as idle.
Productivity Threshold: A period of 15 minutes a user spends on an app or website. On the Settings → Productivity → Apps & Websites page you can choose whether apps/websites below that threshold will be shown or hidden on the relevant tabs in Insightful.
Shift Threshold: The duration of idle/inactive time after which Insightful will mark an employee's shift as finished (using their last activity before the start of their idle/inactive time as the moment of shift ending). This threshold can be set by organization's admin.
Time types in Insightful
Work time: Total time recorded between employee Clock-In and Clock-Out (it consists of computer activity time, idle time, meeting passive time, break time and manual time),
Active time: (it consists of productive time, neutral time, unproductive time, manual time and time spent on unlabeled apps & websites as defined by an organization's productivity label settings),
Productive time: Total time spent on productive activities during Work time, as defined by an organization's productivity label settings,
Unproductive time: Total time spent on unproductive activities during Work time, as defined by an organization's productivity label settings,
Neutral time: Total time spent on neutral activities during Work time, as defined by an organization's productivity label settings (activities that are not reviewed within the mentioned settings will be considered neutral as well),
Computer activity time: Total time spent actively working at a computer during employee Work time (Idle time is not included in Computer activity time),
Idle time: Total amount of time a user was not actively working on the computer during their work time (learn more about idle time here),
Break time: Total amount of time that was taken as a break by an employee during their work time),
Meeting time: total duration of meetings imported from your employee's calendar.
Meeting passive time: Total idle time that occurred during a scheduled meeting event.
Manual time: Manually entered time to log and track any work-related activities that happen offline, or are not computer-based,
Scheduled time: A period of time an employee is scheduled to work,
Time off: Days on which employees are scheduled not to work but be off work. because of holidays, illness or another reason as agreed by the organization)
Timeline: A visual representation of events taking place within a period of time.
Timeline report: Insightful's report that provides you with a single view of all the activities of your employees active on a selected day.
Timesheet: A document or digital record used to track an employee's working hours, including start and end times, breaks, and total hours worked over a specific period. Insightful's Timesheets tab provides an info on users' work locations as well as a breakdown of work, idle, and break time, productivity data and user activities.
Tracking settings: Configurations in Insightful that allow Admins to customize how employee activities and time are tracked. These include options for screenshot frequency, idle time detection, attendance tracking scenarios, and user permissions. Administrators can apply shared settings across the organization or create individual profiles to tailor tracking to specific teams or employees.
Organization tracking settings: Configurations that define how employee activities and time are tracked across an entire organization,
Individual tracking settings: Tracking parameters customized for specific employee. Insightful's flexibility enables tailored tracking based on roles, departments, or individual preferences, ensuring that tracking aligns with specific job requirements.
Two-Factor Authentication (2FA): A security feature that enables two steps of user identity authentication for Insightful login.
U
User: A person with an account who utilizes Insightful app or an associated device/computer.
User roles: Predefined categories that can be assigned to users on the basis of their job functions and requirements (or some other criteria). Each has a different setup and different Insightful app permission levels based on the requirements of the job function requirements.
Employee: A user role in Insightful typically corresponding to individual contributors who can view their own data (if such permissions have been granted to them by organization Admins or their respective managers), including time entries and productivity metrics, but do not have access to data from other users. This role aligns with general team members or staff performing day-to-day tasks.
Manager: A user role in Insightful typically corresponding to business unit leaders (e.g. team leads, department heads or supervisors). Managers have access to data within a specific scope, such as assigned teams or projects, allowing them to view and manage relevant information corresponding to permissions organization Admins have granted them.
Admin: A user role in Insightful typically corresponding to system administrators or organizational leaders who have full access to all data and settings. Admins are responsible for managing user roles, configuring system settings and overseeing organizational data.
Client: A user role in Insightful typically corresponding to external stakeholders or customers. Clients have access to data related only to specific projects they are associated with, without access to broader organizational data. This role is relevant for those monitoring project progress or results.
Utilization score: This is a metric that tells you how much time, based on a calculation formula you select in Settings → Utilization, your Employees or Teams spent on productive activities in comparison to one of the following:
Fixed Hours (For organizations that have a set number of working hours per day),
Scheduled time (For organizations that have scheduled shifts. Utilization is calculated only during scheduled shift hours).
Active Time (It is time spent actively on the computer, not counting breaks and idle time. You can also optionally include manual time entries and meeting passive time),
Work Time (It is calculated from the first clock-in until the clock-out. Work Time includes computer activities, idle time, manual time, meeting passive time, and breaks).

Visibility settings: Configurations in Insightful that control whether the application is visible to users or runs discreetly in the background on their devices. Insightful provides two modes: Visible Mode, where employees can see the app and Stealth Mode, where the app operates solely in the background.
VPN (Virtual Private Network): A technology that encrypts internet traffic and masks your IP address, ensuring privacy and security online.
W
Widget: A small Insightful desktop interface that allows users to perform different actions, view selected info or quickly navigate to the full Insightful dashboard.
Workpuls vs Insightful: Insightful was first called Workpuls but then the company changed its name. The term "workpuls" is sill in use in some contexts (e.g. Insightful's installation file still had the name of workpuld etc.)
