In Insightful, you can deactivate users so they no longer have access to Insightful and you will no longer be billed for them.
Adding New Employees
Follow these steps to add a new employee profile in Insightful:
- Navigate to the Employees tab on the Insightful Dashboard. 
- Click on the Add New Employee button. 
- Select the relevant category for the employee's device (e.g., 'Company computers'). 
- Follow the prompts to complete the setup. 
Be sure the device does not have outdated folders or software that could interfere with the installation process. Removing remnants of old data ensures accurate tracking and setup validation.
How and when to deactivate
A list of employees you're tracking can be found on the Employees screen under the Active tab. These are the users you are being billed for as well.
Ensure the device does not retain outdated folders or software that could interfere with the tracking process. Cleaning up old data ensures accurate tracking and avoids potential errors during the setup.
If you want to remove a user from Insightful and stop tracking them, temporarily or permanently, you can do this by deactivating them. Just select the desired user and:
- Click on three dots menu on the far right. 
- Select Deactivate Employee. 
- A popup will appear prompting confirmation. 
After a user is deactivated, their historical activity data can be accessed under Time and Attendance by selecting a date range from when they were active.
Please keep in mind that there is a 7-day lock before you're able to reactivate a user after deactivating them.
Additionally, deactivating a user immediately stops any tracking activity, maintaining privacy and compliance for former employees.
Deactivating a user will stop their device from being tracked. If you wish to track a new employee on the device previously used by the deactivated employee, you should reactivate first before the new employee appears on the dashboard.
Automatic cancellation
To keep your subscription active you need to have at least one Employee user active.
For a subscription to remain active, at least one active employee seat is required. Therefore, if you choose to deactivate the last remaining active seat, you will be prompted with a cancellation pop-up.
This rule does not apply to trial accounts - if you are on a trial, you can freely deactivate the account or leave it active.
How and when to reactivate
You may wish to reactivate users in one of the following scenarios:
- When you have employees that work part time 
- When you have employees that were on a longer leave so you deactivated their Insightful user 
- When you need to set up new employee to be tracked on the previously deactivated employee's computer 
When you wish to reactivate a user in the Insightful app:
- Go to Employees β Deactivated tab. 
- Click on Reactivate button on the far right. 
In occasions where you deactivated a user by mistake and need them reactivated during the 7-day lock, please contact us at support@insightful.io and we will happily do that for you.
