Inactivity dialogs which proactively inform Manual attendance tracking scenario users about their idle state

Users with a Manual attendance tracking scenario might encounter a few different inactivity dialogs. When Insightful detects a certain time of inactivity, it will ask users why they were inactive.

Here are the possible scenarios:

  1. The user was inactive for less than 20 minutes


    If break active and exceeded:

    An inactivity dialog box will open once the user becomes active again:

    The action taken by the user to the dialog will determine how time is categorized:

    • “Continue with the break” - regular break time + break overage will be added

    • “Stop the break” - regular break time + break overage until stopped

    If break overage is enabled, a dialog will pop up. If break overage is disabled, the break ends when it's scheduled to, and the remaining inactive time is counted as idle time.

  2. A user is inactive for 20 minutes or more

    If the user is inactive for more than 20 minutes, considering the idle threshold, and does not take breaks, while the device remains awake, a dialog box will appear when the user becomes active again:

    The action taken by the user to the dialog will determine how time is categorized:


    “I was on a break”

    a) Break overage enabled:

    • Some/all of a regular break left: regular break + overage will be added

    • Permission to start a new overage break, no regular break left: Break overage the entire inactive time

    • No permission to start a new break overage, and no regular break left: The button won’t be visible

      b) Break overage disabled:

    • No break left: The button won’t be visible

    • Some/all regular break left: Regular break + idle time for the rest of the inactive time

    "Yes, I was working offline" - Reporting shows regular break time + the rest of inactive time, which will be added as idle time.

    "No, I wasn’t" - Inactive time will be added as idle time

    Note: If there is an active break time and it’s not exceeded by the user, the user will remain on a regular break after they become active again.

    But if break time overage is enabled and the break was started and exceeded, an inactivity dialog will open once the user becomes active again:

    The action taken by the user to the dialog will determine how time is categorized:

    “I was on the break” → new dialog box opens:

    • “Continue the break” - regular break time + break time overage will be added

    • “No, stop the break” - regular break time + break time overage until stopped

    “I was working offline” - Reporting will show regular break time + the rest of the inactive time will be added as idle time.

    “I forgot to stop the shift” - The shift is stopped at the moment the allowed break expired.

    If the break overage is disabled and break time was exceeded, an inactivity dialog will open once the user becomes active again:

    “I was working offline” - Reporting shows regular break time + the rest of inactive time is added as idle time.

    “I forgot to stop the shift” - The shift is stopped at the moment the allowed break expired.

  3. If the user is inactive beyond the shift threshold

a) Once the shift threshold has been reached, an inactivity dialog pops up:

The shift is stopped: shift end will be the last activity.

b) If a break was started and break overage is enabled:

If the user was:

  • Last active while on regular break, the shift will be closed when the regular break expired (reporting will show no overage break and no idle time after the regular break)

  • Last active while on break overage, the shift will be closed when computer activity was last detected (reporting will show the entire allowed break time + break overage up until the last computer activity - no additional overage or idle time reported).

c) Break overage disabled - The shift will be closed when the regular break expires.
