Welcome to Insightful! In this article, you can find all the necessary instructions for the initial setup of your Insightful account.
Create Your Organization
To sign up for Insightful, follow these steps:
1. Enter your full name.
2. Enter your email address.
3. Enter your password.
4. Click Sign up to proceed.
Next, you need to verify your email address.
To create your organization in the system, please follow these steps:
Enter the organization name: Type in the full name of your organization exactly as you would like it to appear in the system.
Enter the phone number: Provide a valid contact phone number for your organization. This number will be used for official communication purposes.
Enter the organization size/number of employees: Specify the total number of employees who will be using Insightful. Make sure to include everyone for accurate tracking.
Time Zone: The time zone can be automatically detected based on the IP address or manually adjusted from the dropdown menu.
For newly created users or those on a trial, the system defaults to the Time Zone of Your Employees instead of the Organizational Time Zone upon initial setup.
Once all these steps are completed, your organization will be set up within the system.
You can always change these settings later.
Now that you have created your organization, it's time to set up your Insightful account. We advise you to go through our guided onboarding - a checklist containing 3 product tours.
The tour number 1 guides you through adding employees and you can also access it directly via this link.
It will show you how to add employees depending of your choice of the employee computers - you can either choose the company computer option or the personal computer option.
To understand the difference between company and personal computers, please go through this article.
Depending on the choice you've made, the steps you'll need to follow to complete your onboarding will be different. In this section, we'll first walk you through the onboarding steps for users with company owned and operated computers and then for the ones with personal computers - devices owned by the employees/users.
Company Computers
Add employees / Install Insightful
Insightful offers a few different options for adding employees who use company computers. For detailed instructions on how to get Insightful installed to the devices of your employees and have them set up for data tracking and analysis, please review the following article.
App Visibility and Projects Tracking Settings
The tour number 2 covers the tracking settings and you can also access it directly through this link.
Insightful can function discreetly in the background, with the tracking agent remaining hidden from employees. Alternatively, you have the option to choose to make the tracking agent visible.
Visible mode
When in visible mode, the Insightful icon will always appear in the app tray. In this mode, you can choose whether to have Insightful run automatically or manually:
Manual Attendance Tracking: Employees can start and stop tracking manually.
Automatic Attendance Tracking: Clock-in and clock-out times are collected automatically, with no user input needed to start or stop Insightful.
Additionally, you can further customize your preferences, such as enabling time tracking on tasks and projects and adjusting the frequency of screenshots taken.
Stealth mode
Insightful operates continuously, seamlessly hidden on the computer, capturing data and automatically recording attendance, all while collecting productivity insights from computer activities. It is important to note that different countries have varying regulations concerning data capture of this nature, so it is advisable to familiarize yourself with local and federal laws.
Being completely invisible, Stealth mode does not allow employees to control when and how Insightful tracks productivity data and does not support time tracking on tasks and projects for the same reason.
You have the option to choose between Stealth mode and Visible mode for Insightful.
If you select to Track time on tasks, you’ll get to project management features.
Screenshots setup
Choose if you will enable screenshots from the start and the number of screenshots you'd like Insightful to take per employee per hour.
Enabling screenshots is optional, but if you decide to utilize them, Insightful allows you to capture up to 30 screenshots per hour per employee.
In Stealth mode, the only customizable option is the frequency of screenshots, as employees are unable to interact with the Insightful app.
The default tracking settings for company computers are the following:
Visibility - Stealth
Tracking Time - Unlimited
No Screenshots
If you need to change the settings, you can do so under Settings >> Tracking Settings.
Start Tracking data
Once you've added employees and reviewed/updated the Tracking Settings, you will see them on your Dashboard (if you are an Admin or a Manager with the needed permission). As soon as they start working on their computers, their activities will be tracked and begin to show up on your dashboard.

Personal Computers
Add Employees / Install Insightful
Here are the steps you need to follow to send the Insightful installation file to your employees and Invite them to the app:
Enter the Email, Full Name and the Team the employee belongs to.
The full name you enter here will be the name you see on the dashboards.
You can assign employees to a default team or create a new one if necessary.
After filling in the details, click Send Invites.
Your employees will receive an invite email that contains the download link to install the Insightful widget.
Employees will use the link to install the widget and create their login credentials to access the platform.
These steps will ensure smooth onboarding for all employees using Insightful.
After sending the invites, you will be informed about your and your employees' next steps, based on the previously selected settings.
Notes
If you are not ready to add your employees yet, you can enter your email address and install Insightful on your own device. This way, you can get to know the platform. Alternatively, you can skip this step and go straight to the dashboard to complete the setup.

Attendance Tracking Settings
When it comes to tracking settings for personal computers, you can choose several options. You can take a look at the tour number 2 which explains the tracking settings directly via this link.
You have the option to choose whether attendance will be tracked exclusively on Projects and Tasks (suitable for freelancers) or if your employees will require Manual Clock-In. Regardless of your selection, Insightful will only track activities once a freelancer initiates their time on a project or after an employee clocks in.
The Project Based setting will set Insightful to track employees' computer activities when they start the timer on Tasks, and only while they are working on Tasks. Manual Clock-In will set Insightful to start tracking activities when an employee clicks on the Clock In button until they hit Clock Out.

Set the number of screenshots you wish Insightful to take per employee per hour or disable this feature.
The default tracking settings for personal computers are the following:
Visibility - Visible
Tracking Time - Project Based
No Screenshots
Regardless of how you choose to configure your tracking settings, you can always make changes later through Settings >> Tracking Settings.
Start Tracking Data
When your employees install the Insightful installation file, they will be able to Clock in/out or start tracking time on their tasks via the widget on their desktop.

Only after your employees finish these steps, Clock-In for the first time (or start the Timer on their first task) and start using the Insightful widget will their data start showing up on your Admin Dashboards.
